Who operates ElectroCon

ElectroCon organizers operate the ElectroCon app, this website, and related event services. References to a university or organization describe the event community and do not, by themselves, represent official operation or endorsement.

Information we collect

• Account information: name, email address, password hash or Apple/Google sign-in identifier, email verification status, and assigned roles.
• Eligibility and optional profile information: age and, only if you choose to provide it, gender.
• Event activity: joined events, game participation, QR scans, match status, and timestamps.
• Reward-program records: current stamp balance and redemption or adjustment records.
• Support messages: the name, email address, topic, and message you send through the support form.
• Security information: IP address and limited request data used for abuse prevention, troubleshooting, and service security. Rate-limit records store a keyed hash rather than your IP or email address.

Camera and QR codes

Camera access is used only when you open the scanner. The app reads QR-code text on your device. Camera images and video are not uploaded or retained by ElectroCon.

Your personal QR code contains a random app identifier, not your name, email address, age, or gender. Authorized app features use that identifier to look up the corresponding account on the server. You can replace your QR code from your profile at any time.

Why we use information

• Provide accounts, email verification, event registration, QR passes, games, matching, and rewards.
• Confirm age eligibility and enforce participant, bartender, and administrator permissions.
• Prevent duplicate scans, fraud, unauthorized access, and service abuse.
• Answer support requests, diagnose failures, reconcile event activity, and comply with applicable obligations.
• Create aggregate community insights from optional profile information. ElectroCon does not use profile information for targeted advertising.

Who can access information

Authorized event staff and administrators can access only the information needed for their role. After scanning a participant QR code, bartenders can look up the corresponding name and reward balance. Administrators can manage accounts, roles, events, and activities.

Service providers process information for ElectroCon under their service terms: Vercel hosts the website and API, Neon hosts the database, and Resend delivers verification and support emails. Apple or Google processes information when you choose its sign-in option. Information may also be disclosed when legally required or necessary to protect users and the service.

ElectroCon does not sell personal information and does not use it for cross-context behavioral advertising.

Retention and deletion

Account and event information is kept while the account is active and as needed to provide the service. Support messages are kept only as long as needed to answer them and keep a record of the request. Security logs are kept only as reasonably necessary for security, troubleshooting, and abuse prevention.

Deleting your account removes the profile, sign-in credentials, QR identity, roles, event participation, and game activity associated with it. Operational drink-audit entries may remain without user identifiers for reconciliation, fraud prevention, or recordkeeping. Backup copies may persist temporarily until routine backup rotation completes.

Security and your choices

ElectroCon uses encrypted transport, password hashing, email verification, role-based access controls, revocable sessions, request validation, rate limiting, and protected device storage. No system can guarantee absolute security.

You may decline optional gender collection. You may delete your account in the app, follow the steps on the account-deletion page, or contact support to ask about access, correction, or other applicable privacy rights.

Age, changes, and contact

ElectroCon is intended only for people who meet the age requirement shown in the app and any higher legal age applicable to the event or activity. It is not directed to children.

Material policy changes will be posted here with a revised effective date. Questions or privacy requests can be sent from the support page.
